This privacy notice will give you information on how the OCEANERA-NET COFUND website collects, uses, shares and looks after your personal information. Personal information, or personal data, means any information about an individual from which that person can be identified. Anything we do with your personal information (from the point at which we collect it until we delete it from our systems) is called processing.

This website is not intended for children and we do not knowingly collect personal information relating to children.

It is important that you read this privacy notice together with any other privacy notice or fair processing notice associated with the funding organisations who are involved in the OCEANERA-NET COFUND consortium or funding a Joint Call. This privacy notice supplements the other notices and is not intended to override them.

Who we are

OCEANERA-NET COFUND is an EU funded action led by Scottish Enterprise (SE) and involving 7 other partners from different EU countries – listed in the About section of the website.  Other EU-based organisations may be involved as funding organisations in Joint Calls.

OCEANERA-NET COFUND supports collaborative research and development projects through specific Joint Calls for proposals.

The objective of the website is to provide a platform to apply for funding for collaborative research and development projects under Joint Calls.

Proposals are submitted by the Coordinator (lead partner) on behalf of a collaborative project consortium, through an on-line application system hosted on the OCEANERA-NET COFUND website. When submitting a proposal, the Coordinator is required to provide information on the partners involved in the proposed project. This will include personal information for the main contact person for each partner in the project and may include personal information on individuals who will be involved in project implementation.  Collaborative project partners’ personal information will be shared by the OCEANERA-NET COFUND consortium members and other funding organisations who are involved in a Joint Call.

Personal information we collect

SE on behalf of OCEANERA-NET COFUND may collect, use, store and share different kinds of personal information about you. To help you identify these, they have been grouped together as follows:

Identity data: title, forename, surname, job title, CVs 

Contact data: email address, address, postcode, company name, company address, town, country, telephone

Technical data: Internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this website

Profile data: Username and password, your preferences, feedback and survey responses

Usage data: Information about how you use our website, products and services

Marketing data: your preferences in receiving marketing from us, our Customer Relationship Management (CRM) partners (see further below) and selected third parties.

There is also other information that we collect, use, store and share that is not personal information, including: -

Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data may be derived from your personal information but is not considered personal information in law as this data does not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data to calculate the percentage of users accessing OCEANERA-NET COFUND on partner sites. However, if we combine or connect Aggregated Data with your personal information so that it can directly or indirectly identify you, we treat the combined data as personal information, which will be used in accordance with this privacy notice.

Anonymised Data is the process of turning personal information into a form which does not identify individuals and where identification is not likely to take place.

Company Data is any information relating to a company, such as the company’s address, financial information, business plans (although these may contain elements of personal information), methodologies, project briefs etc.

How we collect personal information

Personal information will be collected directly from you when you use the OCEANERA-NET COFUND website, or make an application for funding under an OCEANERA-NET COFUND Joint Call. Personal information may also be collected indirectly from a collaborative project Coordinator who submits a funding proposal on behalf of a consortium in which you have agreed to be a partner.

Lawful grounds

Data protection law also says that we must have legal grounds in order to process your personal information. These are known as lawful grounds. There are six lawful grounds, but we will generally only use 2 of these, as set out below:

Submitting a project proposal to OCEANERA-NET COFUND

OCEANERA-NET COFUND allows collaborative project Coordinators, on behalf of project consortia to submit proposals under Joint Calls.

For submitting a proposal under OCEANERA-NET COFUND, sources of your personal information would come from the following areas:

The purpose for processing

SE on behalf of OCEANERA-NET COFUND would need to process your personal information for the following purposes:

  • As a point of contact for funding and support applications
  • To undertake due diligence for fraud prevention
  • To assess the need for funding and support
  • Appraisal of applications for funding and support
  • To enable the delivery of funding and support
  • To analyse and report on funding and support
  • To meet requirements of regulatory frameworks
  • To audit our compliance with regulatory frameworks

Lawful ground(s)

There are lawful grounds why SE on behalf of OCEANERA-NET COFUND would need to collect and use your personal information. These are:

  • A legal obligation – much of our funding and support is provided under European legislation, which requires us to process personal information;
  • Performance of task in the public interest task/exercise of our official authority (using funds appropriately)

Consequences of not providing personal information

If you do not provide SE on behalf of OCEANERA-NET COFUND with personal information, we will be unable to provide funding and support.

How long we will keep your personal information

European legislation, under which we provide much of funding and support specifies the periods of time for which we have to keep documentation relating to funding and support we have granted. This is generally, 10 years from the date of the end of the European funding programme. For example, funding and support given under a 2014-2020 programme will require to be retained until the end of 2030.

Research

SE on behalf of OCEANERA-NET COFUND, undertakes research and evaluation to support improvements to our services and economic development in Scotland.

Consequences of not providing personal information

If you do not give SE on behalf of OCEANERA-NET COFUND personal information, we will be unable to carry out strategic research that is necessary for the development of the Scottish economy.

How long we will keep your personal information

For the period of the research, and no longer than two years after the research is completed.

Who we will share your information with

SE on behalf of OCEANERA-NET COFUND will share your personal information with the OCEANERA-NET COFUND partners and any other funding organisations involved in a Joint Call, for the purpose of processing applications, preparing contracts, monitoring and reporting of funded projects. The information provided by you will also be shared with independent evaluators appointed by OCEANERA-NET COFUND to review proposal submitted under Joint Calls. These evaluators will sign a code of conduct and confidentiality declaration before being provided with access to the proposals which contain your personal information. The information may be shared with the European Commission, the European Court of Auditors and any national audit authorities for the purposes of reporting on the OCEANERA-NET COFUND project and audit and compliance.

SE will share your personal information with our CRM Partners, as part of the overall CRM Partnership collaboration.

Your rights

Access to your information

You have the right to request a copy of the personal information about you that SE and the OCEANERA-NET COFUND Partners hold on behalf of OCEANERA-NET COFUND. You also have the right to request a copy of the personal information that is held about you by our partners. You can do so by contacting the relevant partner.

Correcting your information

SE on behalf of OCEANERA-NET COFUND wants to make sure that your personal information is accurate, complete and up to date and you may ask SE on behalf of OCEANERA-NET COFUND to correct any personal information about you that you believe does not meet these standards.

Deletion of your information

You have the right to ask SE on behalf of OCEANERA-NET COFUND to delete personal information about you where:

Objecting to how we may use your information

You have the right at any time to require SE on behalf of OCEANERA-NET COFUND to stop using your personal information for direct marketing purposes. In addition, where SE on behalf of OCEANERA-NET COFUND uses your personal information to perform tasks carried out in the public interest or in exercising official authority vested in it then, if you ask it to, SE on behalf of OCEANERA-NET COFUND will stop using that personal information unless there are overriding legitimate grounds to continue.

Restricting how we may use your information
